Dear ___________,

I received your letter on December 1st, 2011, notifying me of your dissatisfaction with the ceramic bowl you purchased from my store at the Anytown craft fair. You stated that the bowl had a crack in it that you did not notice when you bought it. You also mentioned that the bowl had a defective base.

My store policy is to accept the return of any piece within two weeks of the date of sale. As more than two weeks have passed, I would not normally be able to accept a return. However, you mentioned that you live out of state and purchased the item on vacation. As such, I will make an exception in this case.

Please place the ceramic bowl in a safe package and mail it to me at the address listed below. You will need to carefully wrap the bowl in bubble wrap to ensure that it arrives with only the minor defects you specified. You paid with a credit card, so I will refund your purchase of $500 to that card upon receipt of the defective ceramic bowl.

All of my pieces are unique, so I cannot offer you an exact replacement. However, if you would like to exchange the bowl for one of similar construction, I would happily offer you an exchange instead of a refund.
